Windsor & Eton FC Youth takes the privacy of all its customers and website users very seriously and takes great care with customer and user information.
This privacy policy explains what information we will collect about you, how we will use it and the steps we take to ensure that it is kept secure.
By using this website, you consent to us collecting and using personal information about you in accordance with the terms set out in this policy.

What information do we collect?

In order to provide you with our services, we may collect personal information about you from our website, telephone conversations, emails and written and verbal communications. We may, for example, keep a record of your name, address, delivery address, email address, telephone number, date of birth and credit card details.

How do we use your information?

Any personal data relating to you will be used and recorded by us in accordance with current data protection legislation and this privacy policy.
We will primarily use your personal information to provide our services and products to you. We will also use the personal information that we hold to communicate with you, for example: in the event that the services or products you have requested are unavailable, for record keeping purposes, to recover debt and to help us to prevent fraud, to improve the quality of our service, for market research or to track activity on our website.
We may at times send group emails to team members or parent/carers thereof to reduce administrative traffic, all information will be kept to a minimum as per GDPR guidelines and only used as necessary.
We may also create an individual profile for you so that we can inform you of services, products, events or special offers that may be of interest to you.

Data policy

We will keep your personal information safe and not sell or pass your data to third parties. However, we are required to provide your personal information to The FA and the competitions we play in. We will use your personal information for the purposes of fulfilling our Club Membership and League registration requirements and providing general information about Windsor & Eton FC Youth.

Data will be kept for as long as you are a member and up to 12 months after your membership ceases, unless we are legally required to keep the data longer for purposes such as required by HMRC.

Please note, only the assigned Club Officer, namely the Club Secretary or their delegate are authorised to request direct and validate member ID checks as part of the player registration process. 

We take the security of your personal information very seriously. When you submit your credit card details, we use industry standard Secure Sockets Layer (SSL) encryption technology to guard your information.

This website contains links to other websites. We are only responsible for the privacy practices on this site. We recommend that you check the privacy and security policies and procedures of each and every other website that you visit.

What to do if you do not want to receive marketing information
You have the right to prevent marketing information being sent direct to you. To manage the smooth running of the club, participation in the leagues, ensure the health and safety of both players and volunteers, fulfil our safeguarding commitments and process payments for the organisation we run.
To inform you of FA, club, league or team related news, events, activities or services which we think you should hear about.
To share your contact details with officials within the club, league and FA and other authorised people and companies for the purposes of delivering the service we provide.
What is the legal basis for processing your personal data?

You have given us consent to use your Personal Data for the purposes given in the consent statement you agreed to. You can see that statement within your registration form on your online account.
Where you have given us sensitive information (such as medical data), we will have asked for and you will have given us explicit consent to store and use that information. You always have the right to refuse to give us any information, particularly sensitive information.
Sharing your personal data

Your Personal Data will be treated as strictly confidential and will be shared only with organisations whose services are required for us to provide the services we offer. We use other companies to help us process your Personal Data so that we can offer you the best possible service.

We will only share your Personal Data with other third parties with your consent. These third parties, in turn, may rely on data processors to provide services that help them help us. 

Some third parties we use may operate outside the EEA. In these cases, we will make sure that we have robust contracts in place with those third parties and that adequate safeguards exist to protect and secure your Personal Data. 

When you give your consent to our holding of your Personal data you agree to us sharing your Personal Data (including special categories of Personal Data – where we have your explicit consent) with third party processors and sub-processors located both inside and outside the EEA.

How long do we keep your Personal Data?

We keep your full Personal Data for as long as you are an active member of our organisation. We will remove the details of any player who chooses not to re-register for a new season from their record at that time except of member first and last name.  These will be retained to enable us to keep auditable records of email and financial transactions.

Your rights and your Personal Data.

Unless we have an exemption under GDPR, you have the following rights with respect to your Personal Data: -

The right to request a copy of the Personal Data which we hold about you, without any charge.
The right to request that we correct any Personal Data found to be inaccurate or out of date.
The right to request that your Personal Data is erased where it is no longer necessary for us to keep it.
The right to withdraw your consent to the processing we carry out at any time.
The right to request that we provide you with your Personal Data and, where possible, to send that data directly to another data controller. 
The right, where there is a dispute in relation to the accuracy or processing of your Personal Data, to ask us to restrict further processing.
The right to object to the processing of Personal Data.
The right to lodge a complaint with the Information Commissioners Office and to seek legal recourse.
Further processing

If we wish to use your Personal Data for a new purpose, not covered by this Data Privacy Notice, then we will provide you with a new notice explaining this change of use. We will do this before we start processing for this change. We will set out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
